Description
URJ 6 Points Creative Arts Academy is looking for responsible and organized individuals to serve on our leadership team as the Operations Director at a residential summer camp in West Chester, PA. The Operation Director is responsible for overseeing all logistics across camp, including running our summer office. This person would handle vendor relations, transportation, summer daily operations, supplies, and be the liaison to the Westtown school. The Operations Director must be calm under pressure, with a proven track record of excellent organizational and communications skills.
Essential Duties Include:
Supervise and schedule Operations Team personnel
Assign routine tasks and cross-train tasks
Establish office protocols for how phone calls, in-person requests, mail, driving logs, AV setups, etc. will be handled and train all staff on these items
In partnership with year-round staff, coordinate arrival and departure times, modes for staff, campers, and faculty
Oversee opening and closing day procedures including staffing for airport pick-ups and train pick-ups
Track late arrivals
Track missing luggage
Track purchasing for program supplies across camp programming
Create systems for supply requests and fulfillment
Track and code all receipts to proper departments
Submit receipts as directed
In partnership with the year-round team, work with our summer vendors, including scheduling and maintenance
This includes but is not limited to laundry services, golf carts, printer/copier, swag items, vehicles (our van and bus), buses, off-season storage, and luggage shipping
Serve as primary point of contact on-site with Westtown Liaison(s)
Serve as primary point of contact on-site with Westtown Liaison(s)
Act as liaison to Westtown Facilities
Submit and follow up on maintenance request
Submit and follow up on setups of program spaces
Act as a liaison to Westtown Security
Act as a liaison to Westtown Dinning
Share allergy information provided via health forms
Create dining protocols in or out of dining hall
Maintain compliance with all safety and security protocols
Other Duties Include:
Coordinate Storage unit loadout, Westtown load in, Westtown loadout, Storage unit load-in
External communication (phones will be answered from 9 to 5, then emergency line)
Manage internal staff access to office
Coordinate any off-site medical visits with the Health and Wellness Director
Coordinate travel needs with camp visitors and coordinate visitors for Showcase including registration and parking
Coordinate camp daily schedule with the Assistant Director to avoid conflict
Be available by walkie, phone, email throughout the camp season.
Abide by and enforce safety and security protocols and policies with all participants and staff.
Attend daily Leadership Team meetings and attend routine meetings with Camp Director and Assistant Director as scheduled
Maintain strict confidentiality
Actively participate and encourage others in camp activities as possible
Contribute to the overall positive morale of the camp community
Other responsibilities as needed
Compensation
Requirements
Must be able to pass URJ and Pennsylvania State background checks.
21 years of age by June 1, 2024.
Excellent driving record
Must be able to demonstrate flexibility, manage multiple responsibilities at once and work as part of a team.
Familiarity with office suite, ability to learn new technology
Strong organizational skills- must be able to handle multiple projects
