Family Experience Associate

Camp Seneca Lake

Description

The Family Experience Associate is responsible for year-round communications with parents in support of camp registrations and payments, ensuring responsiveness and excellent customer service. They will support all aspects of enrollment including our financial aid process, website updates, enrollment-related emails, and ensuring all camp families submit their forms on time for the summer. We are seeking an individual who can become the subject matter expert in our CampMinder system, who can create detailed reports and oversee payments with efficiency and accuracy.

Camp Seneca Lake (CSL) is a premier co-ed overnight summer camp set on 200+ acres on Seneca Lake in the beautiful Finger Lakes Region of Western New York. For over 90 summers CSL has given campers in grades 3-12 a special place to recharge, unplug, and connect to nature and friends. CSL welcomes all campers into a safe compassionate community where each child is encouraged to become their best self.

Children from all backgrounds come together to learn important life skills that will stay with them through adulthood. Campers develop independence, form lifelong friendships, and a deep connection to a tight knit community that is strong at its core. CSL is owned and operated by the Jewish Community Center of Greater Rochester, and we are an inclusive community center and camp that welcomes campers and staff of all faiths, backgrounds, and ages.

This is a full-time, year-round position based remotely or in Rochester, NY if desired. During the summer months, the Family Experience Associate will live onsite at Camp Seneca Lake (CSL) in Penn Yan, NY.

Compensation

$20.00 per hour

Requirements

Responsibilities (Year-Round): Communications: Provide a positive, professional and calm presence in all communications with campers, families, alumni, friends of CSL, and staff, including phone, email and written correspondence. Be the voice of CSL as the primary contact for parents and donors via phone and email and build trust with camp families. o Monitor and respond to emails in the general CSL mailbox and effectively track communication to ensure timely follow-up o Screen and route phone calls, USPS mail and email communications to appropriate personnel, following up as needed o In coordination with CSL year-round team, implement a multi-faceted communications plan for enrolled and prospective camp families including pre-summer info sessions. o Support the Assistant Director of Development in managing CSL social media accounts, creating graphics as needed for email and social media Recruitment Events: o Support year-round retention events for campers and families, including following up with families after events and answering questions about camp. o Represent CSL when needed at recruitment events, event and camp pick-up/drop-off, etc. o Prepare materials for camper recruitment events including ordering supplies, managing presentation decks, etc. CampMinder and Enrollment: o Become the in-house expert on CampMinder, our online database and registration system, to ensure data is up to date, generate reports, facilitate camper registration, and track enrollment. o Ensure completion of required forms, applications, and documents in CampMinder each spring. o Prepare and print camper rosters, registration paperwork, lists, agendas, labels, etc. o Collect payments, maintain systems for payment plans and other receivables, monitor data integrity, process refunds, etc., ensuring prompt and accurate processing o Provide ongoing enrollment and payment reports to Camp Director and Finance o Facilitate scholarship application process and coordinate outside scholarships and grants Administrative: o Provide administrative support for American Camp Association accreditation process o Perform other administrative responsibilities and provide assistance to the Camp Director, as needed Responsibilities (Summer): Parent Communication: o Continue to be primary point of contact for camper families including answering phones, responding to parent emails and requests, and managing office staff to support these tasks o Support the Camper Care and Health Center teams in following up with parent calls and requests Office Staff: o Supervise seasonal office staff who will coordinate transportation, mail, office operations, canteen, camp laundry, logistics and other responsibilities o Order supplies for canteen and the office, as requested, and oversee office budget Medical: o Support the Health Center team including updating the handbook, overseeing Health Center onboarding and nurse transitions, coordinating camper medical leaves in conjunction with the Health Center Coordinator o Prepare all Medication Administration Records using data in CampMinder o Ensure families submit all required health and wellness forms in a timely manner o Oversee supply ordering for the Health Center • Provide support to the Assistant Director of Development for donor and alumni programs at camp (e.g., Family Camp, Alumni Weekend, Community Shabbat, Donor events) • Provide support to the Assistant Director of Programming and Logistics for rental groups
